Mailroom

Mail Room Policies

The Riverside Community College District (RCCD) Mail Room is for business related mail only. The College does not assume responsibility or liability for personal items sent or received by the Mail Room. RCCD business-related correspondence should not contain any cash or any material that is in conflict with the college code of conduct or other college policies.

The Mail Room and RCCD are bound by US Postal Service (USPS) regulations regarding handling of incoming and outgoing USPS mail, but the Mail Room is not affiliated with the USPS nor does it provide the same services.

The Mail Room does:

      • Provide supporting documentation forms for select USPS and other courier services.

      • Assist end user in package preparation.

      • Determine weight and shape dimension of mail and calculate postage.

      • Track USPS correspondence.

      • Sort and route incoming mail to correct mailbox.

      • Process air mail and international mail.

      • Applies metered postage to all outgoing RCCD mail (envelopes and parcels).

      • Occasionally, transport a limited volume of special RCCD business-related mail directly to the US Postal Office.

The Mail Room does NOT:

      • Sell postage (stamped or metered) for any kind for personal use.

      • Provide packaging materials other than USPS/other courier affiliated mailing materials.

      • Accept or handle personal package.
 
Processing Outgoing U.S.P.S. Mail
      • Make sure each piece of mail is properly addressed.

      • Make sure the college name, your department's name, and/or your name is above the return address (top left corner).

      • Make sure all the material is folded properly so it fits in the envelope.

      • Stack all envelopes so they face in the same direction.

      • If you want mailroom personnel to seal your mail, keep the flaps down NOT overlapping each other. (It will be returned if not)

      • Envelopes that contain a clasp please cover with clear tape.

      • Be sure that you fill out the mail slip completely; most departments should have them.

      • You must submit a mail slip. Please print your name and date each mail slip.

      • If your department is out of mail slips email adminsupport.center@rccd.edu or call the mail room at extension 8526 and we will order more for your department or create a new slip.

      • Please do not photocopy mails slips; the bar code on the slips will not work properly on mail machine.

      • Either paper clip or rubber band your mail, whichever is appropriate, to keep it together. Please do not use tape unless extremely necessary.

      • Bring your mail pieces to the mailroom and place in designated area. (According to each college/satellite mail deposit area)

      • Mail pick up time varies by college/satellite. Please check your mail room's courier schedule.

      •  Mail received at district mail center is processed and picked up at 2 p.m. for U.S. Postal processing.

Expedited Mail Services Form

In addition, don't forget to provide telephone number and if possible an email address for the receiver in case courier needs to contact them. These services, if requested, will provide you with email delivery confirmation. Furthermore, the re​ceiver may be requested to provide a signature. Delivery times are not guaranteed.  


Bulk Mail

Bulk mail must be 200 pieces or more. Each piece must have our non-profit mail indicia. This is usually printed onto the actual piece by Production Printing. There are various postal rules and regulations in regards to sizes and content. Please contact us prior to planning any bulk mailings. We'll walk you through the entire process.
